Position Overview Under the general supervision of the Division
Manager, the Team Coordinator works with the Mitigation and
Environmental Team, helping to coordinate projects by tracking
claims from call date to job completion. Duties include providing
administrative assistance to the Project Managers for project
estimates and program requirements, monitoring emails from
adjusters on program claims, assisting in maintaining timely
communication with homeowners, monitoring job hours on a project,
monitoring job flow with regular reporting to management.
Responsibilities The Team Coordinator performs the following duties
along with any additional duties as assigned by management per
business needs. o Track claims/projects from call date through job
completion notifying Mitigation Project Managers or of any delays
or discrepancies. o Participates in and tracks the setup of the
initial claim: o Completes intake of claim either by phone or from
emailed program claim including entering information into Dash o
Assign projects to Project Managers o Contact Customer by phone to
schedule initial appointment with Project Manager o Update Dash and
all TPA's and compliance tasks o Verifies all required updates have
been entered on time o Track job start date and Project Manager if
job not started within company guidelines: o Scan newly signed work
authorization to job folder in Dash o Save estimate, scope, summary
report and components report to Dash o Upload revisions and/or
small estimates in Dash and Xact o Monitor emails/notes from
Project Managers in XACTanalysis on all program claims. Determine
appropriate action and add note of receipt with follow up to the
adjuster and copy all parties involved. Track progress of request
until complete. o Update job flow status in Dash, XACTanalysis and
all TPA websites o Verify project documentation is completed, ie
reports, self pays, etc. o Review Project Manager entries in
XACTanalysis for accuracy and completeness o Update job notes in
Dash, XACTanalysis and all program claims o Review all job status
control points for active assignments in XACTanalysis daily, in
addition to monitoring job flow. Goal is to not have jobs listed on
the daily TAC report o Enter any estimate, change order or self-pay
information into DASH o Review Project Managers work in progress
(WIP) reports with Project Manager before weekly production
meeting. o Bill deductibles, progress payments and final billing o
Verifies closing documentation have been forwarded to the
appropriate individual to include adjuster, estimators, AR, or any
other required entity. Updates Dash and XACTanalysis o Help Project
Managers in any way possible to keep projects running efficiently o
Demonstrate positive attitude and willingness to jump in on any
task requested by Project Managers and management o Always conduct
yourself in a professional manner. Be a team leader, setting the
standard for other employees and subcontractors to follow.
Discourages negative morale by offering positive suggestions to all
challenges. Be honest and courteous to everyone you meet. Dress
appropriately (Company attire as per company dress code and uniform
policy) Assures that all others under your direction follow these
guidelines. o Help be customer liaison. Speak knowledgeably and
honestly with the customer. Make sure that when a customer is
promised something we fulfill it or keep the customer notified of
delays and resolutions. o Maintain thorough knowledge of the
company policies and procedures and assisting in their
implementation and improvement

Additional Skills & Qualifications:
o 3+ years of scheduling, coordinating and project management
support within a fast-paced construction/insurance restoration or
claims management environment preferred. o Previous data entry
experience required o Competency in Microsoft applications
including, Word, Excel and outlook required; experience with Sage
preferred o Must be able to work independently and handle multiple
priorities with a strong attention to detail o Excellent
interpersonal and customer service skills o Excellent verbal and
written communication skills o Effectively use communication
devices and technology o Effective time management skills o Valid
California Driver's license
