City Wide Property Services, Inc. currently has an opening for a *Contracts Administrator* to join our expanding team in the *Sacramento *area!For over two decades, City Wide has been a trusted partner for ownership, and property & facility managers throughout California, providing commercial properties with first-class maintenance and service repairs.*Job Summary*The Administrative Assistant - Contracts is primarily responsible for supporting the Sr. Director of Contract Services by validating and updating new and existing site information in company systems and maintaining master files of client information. This position requires an assertive individual with a strong focus on detail, the ability to interact with multiple departments within the organization, and excellent organizational skills. In addition, this individual will have the responsibility to ensure applicable business information and data are stored and maintained to support business needs.The ideal candidate understands the importance of building relationships across departments and understanding how accurate initial entry and updates to critical information in multiple applications are key to meeting and exceeding customer expectations. If you enjoy interacting with others, thrive in a fast-paced work environment, and are eager to tackle challenges, we would love to hear from you!*RESPONSIBILITIES** Enter site information in a proprietary system to create customer proposals and work orders* Take accurate and complete notes during onboarding meetings for new recurring services and distribute them electronically to the team* Create recurring work orders within the proprietary system, ensuring that all relevant information is included about inclusions and exclusions based on the signed customer proposal* Set up and maintain master files both digitally and manually* Enter yearly budget increases at year-end* Respond to revision and cancellation of contracts and contract information requests promptly* Assist with the investigation and completion of voiding of incorrect invoices (duplicates, pricing discrepancies, etc.)* Prepare monthly Excel reports for the CEO and Sr. Director of Contract Services detailing the contract status of all current sites.* Seek to continuously improve processes, systems, and overall client satisfaction* Work with internal teams to provide timely resolution of all client support issues* Performs other duties as assigned*QUALIFICATIONS** At least two years of Administrative Assistant experience, focused on accurate notetaking, documentation, and data entry into multiple systems* Proficiency in MS Office Suite (Excel, Word, and Outlook) and multi-line phones* Basic knowledge of QuickBooks* Demonstrated ability to build and maintain positive relationships across departments* Excellent written and verbal communication skills* 50+ WPM typing proficiency with 90% accuracy* Adept at communicating effectively and professionally* Analytical and a creative problem-solver* Ability to multi-task, adapt, and think critically in a dynamic, fast-paced environment* Ability to prioritize work based on urgency* Team player with an ability to take charge and self-motivatedJob Type: Full-timePay: $18.00 - $21.00 per hourBenefits:* 401(k)* 401(k) matching* Dental insurance* Health insurance* Referral program* Vision insuranceSchedule:* 5x8* 8 hour shift* Monday to FridayExperience:* Administrative Assistant: 2 years (Required)* QuickBooks: 1 year (Preferred)Work Location: One location
