The role of a Project Coordinator encompasses the following general responsibilities:

* Develops and provides complex analytical support for multiple projects, including operational and technical projects * Develops annual operating plans with supporting budgets supportive of goals * Defines business requirements and assists in implementing operational improvements * Manages the scope, resources, schedule, risks/issues, assumptions/decisions, reports, and overall progress of each project * Builds and maintains complex Microsoft Project plans * Validates deliverables in support of closing phase gates * Creates and manages project portal and tools

Specific to the CalPERS Team, the Project Coordinator supports a variety of activities, including but not limited to Project Management, Contract Management, Annual Renewal/Implementation, Document Management, and Process Management/Improvement.



Project Management

* Supports team projects from initiation through delivery and project close out
*

Supports a variety of projects with varying degrees of scope, budget, and complexity

* Conducts analysis of data to generate meaningful information capable of supporting critical project decisions

* Organizes interdepartmental activities ensuring completion of project activities on schedule and within budget
*

Creates and maintains project plans

* Captures weekly project plan updates while quickly escalating risks/issues

* Captures, documents, and reports on action items, risks/issues, and assumptions/decisions * Organizes project work products in a central location and communicates the availability of information to all impacted stakeholders * Creates and maintains presentations for internal and external audiences appropriate for all levels of management

Contract Management

* Understands current contract requirements, serving as a contract subject matter expert * Tracks submission of deliverables against contract requirements in a centralized tracker * Immediately escalates risks and issues associated with the timely submission of accurate contract deliverables * Compares current year contract with proposed future year contract, documenting differences for review by management * Compares client-provided final contract against approved changes, documenting variances for review by management

Annual Renewal/Implementation

* Learns and supports the annual CalPERS renewal/implementation process from plan offering approval through go-live * Captures, documents, and manages meetings action items, risks/issues, and assumptions/decisions to ensure flawless renewals/implementations

Document Management

* Works with all team members to create a centralized, well-organized, intuitive document retention solution that supports annual activities * Learns and ensures compliance with diverse requirements of each type of storage options * Streamlines and improves upon existing tracking tools to achieve efficiencies of day-to-day team activities

Process Management/Improvement

* Maintains inventory of existing process flow documents, updating the documentation as processes change

Documents new processes as identified by the CalPERS team

* Coordinates updates with cross-functional enterprise teams, as needed

* Updates process documentation twice annually * Identifies opportunities for workflow improvements and efficiency * Assists in implementing new processes and/or approaches approved by leadership

Supervisory Responsibilities

* No supervisory responsibility, but must effectively drive work and navigate relationships with cross-functional team members to ensure timeliness of deliverables
